Customer Segments

Segments are dynamic customer groups defined by rules. Customers are automatically included or excluded as their data changes — no manual management is required. Segments are useful for identifying high-value customers, targeting specific demographics, or isolating at-risk buyers.

Creating a segment

  1. Navigate to WooCommerce → CRM → Segments.
  2. Click Add Segment.
  3. Enter a name and optional description.
  4. Add one or more rules using the rule builder (see below).
  5. Click Save.

The segment immediately calculates and displays the number of matching customers.

Building rules

Each segment consists of one or more conditions. Multiple conditions can be combined with AND logic (all conditions must match) or OR logic (any condition can match).

Customer data fields

  • Customer Type — Match by Customer, Guest, or Subscriber
  • Email — Match email addresses using equals, contains, starts with, or ends with
  • Registration Date — When the customer was first created
  • Last Active — The date of the customer’s most recent activity

Purchase behavior fields

  • Total Spent — Lifetime revenue (supports equals, greater than, less than, and related operators)
  • Order Count — Total number of orders placed
  • Average Order Value — Mean order amount
  • Products Purchased — Match against specific products

Location fields

  • Country — Billing country
  • State/Province — Billing state or province
  • City — Billing city
  • Postal Code — Billing postal or ZIP code

Date operators

Date-based fields support the following operators:

  • On date — Matches an exact date
  • After date — Matches dates after a specific date
  • Before date — Matches dates before a specific date
  • Within last X days — A rolling window (e.g., registered within the last 30 days)
  • More than X days ago — Older than a specified number of days

Product-based rules

The “Products Purchased” field opens a product search picker. Select one or more products, then choose a matching mode:

  • Any of — The customer purchased at least one of the selected products
  • All of — The customer purchased every selected product
  • Hasn’t purchased — The customer has not purchased any of the selected products

Segment examples

The following examples illustrate common segment configurations:

  • VIP Customers — Total Spent greater than $500 AND Order Count greater than 5
  • At-risk customers — Last Active more than 90 days ago AND Total Spent greater than $100
  • US West Coast — Country equals US AND State equals CA OR State equals WA OR State equals OR
  • Cross-sell opportunity — Products Purchased includes “Product A” AND Products Purchased hasn’t purchased “Product B”

Using segments to filter customers

Segments appear as a filter option in the customer list. Select a segment from the filter dropdown to display only matching customers.

Editing and deleting segments

From the Segments tab, click any segment to edit its name, description, or rules. Click the delete button to remove a segment permanently. Customer counts recalculate automatically when rules change.

Troubleshooting

  • Segment shows zero customers — Review the rules to confirm they are not overly restrictive. Combining multiple AND conditions narrows the match. Try removing one condition at a time to identify which rule excludes all customers.
  • Customer count seems incorrect — Segments recalculate when rules are saved. If customer data changed recently, open the segment and click Save to trigger a recalculation.
  • Product search returns no results — The product picker searches published WooCommerce products. Verify the product is published and not in draft or trash status.
