Getting Started

Refinery CRM adds a full Customer Relationship Management (CRM) dashboard to WooCommerce. It provides 360° customer profiles, dynamic segmentation, built-in analytics, and direct email — all without leaving the WordPress Admin dashboard (WP Admin).

Prerequisites

  • WordPress 5.8 or higher
  • WooCommerce 5.0 or higher
  • PHP 7.4 or higher
  • An active Refinery CRM license key

Installing the plugin

  1. Download the plugin ZIP file from the Refinery account dashboard.
  2. In WP Admin, navigate to Plugins → Add New → Upload Plugin.
  3. Select the ZIP file and click Install Now.
  4. Click Activate to enable the plugin.

On activation, the plugin begins indexing existing WooCommerce customers in the background. Stores with thousands of orders may see a brief sync period — a progress indicator displays the current status.

Navigating the CRM

Access the CRM by navigating to WooCommerce → CRM in WP Admin. The interface includes four tabs:

  • Customers — Browse, search, and manage the full customer database
  • Segments — Create dynamic customer groups using rule-based conditions
  • Analytics — Review customer metrics, growth trends, and period-over-period comparisons
  • Settings — Configure display preferences and manage the license key

Customer types

The CRM tracks three types of customers automatically:

  • Customers — Registered users with a WooCommerce account
  • Guests — Buyers who placed orders without creating an account
  • Subscribers — Users with the WordPress subscriber role

All customer types appear in the CRM and can be filtered, segmented, and contacted.

Compatibility

Refinery CRM is compatible with:

  • High-Performance Order Storage (HPOS) — Works with both the legacy post-based storage and WooCommerce custom order tables.
  • WooCommerce Subscriptions — When installed, subscription data appears on customer profiles.
  • WooCommerce Memberships — When installed, membership data appears on customer profiles.

Activating the license

  1. Navigate to WooCommerce → CRM → Settings.
  2. Enter the license key from the Refinery account dashboard.
  3. Click Activate.

An active license enables automatic plugin updates and access to support. Without an active license, the plugin continues to function but does not receive updates.

Troubleshooting

  • Customer sync not completing — Large stores may require additional time for the initial index. Navigate to WooCommerce → CRM to check the progress indicator. If the sync stalls, deactivate and reactivate the plugin to restart it.
  • License activation fails — Verify the license key is copied exactly from the Refinery account dashboard. Ensure the key has not already reached its site activation limit. Deactivate the key on unused sites to free up a slot.
  • CRM menu not appearing — Confirm WooCommerce is installed and active. The CRM menu registers under WooCommerce → CRM and requires WooCommerce to be present.
